Quickbooks stock control

(using Quickbooks with Finale Inventory)


For a variety of reasons, companies using Quickbooks for accounting often need dedicated cloud based inventory management software like Finale for their inventory tracking. The integration between the accounting system and the inventory management system is therefore paramount. Naturally there is some overlap between the systems, so a company needs to make practical decisions like whether to send invoices or purchase orders from the inventory system or the accounting system. These decisions can be made on the basis of what is most expedient for the company in its day-to-day operations. There are some decisions about information architecture, however, that a company must think about at the onset.

The top level decision a company should make regarding integration between Quickbooks accounting and inventory management is what level of information will be shared from the inventory management software to the accounting software. There are fundamentally three levels:

Account level

The inventory management software provides for a time interval the credit and debit journal entries per account, e.g., for each COGS account, inventory account, income account, etc.

Order level

The inventory management software provides for a time interval the item receipt record for each shipment received from a supplier and invoice record for each invoice created for a customer, these records containing credit and debit entries per account -- treating all items of the same account as one and the same and aggregating them together as a single representational item per account.

Item level

The inventory management software provides for a time interval the item receipt record for each shipment received from a supplier and invoice record for each invoice created for a customer, these records containing per-item information.

Finale Inventory supports all three levels of information exchange, and it is up to a company to decide which level best fits their needs. Small to medium sized companies that use an external accountant may, for example, be satisfied with making general ledger journal entries at the account level of detail. On the other hand, companies matching invoices received against records of shipments received may need the order level information. While the subject of integration with accounting is a bit large to address in a web page, the example videos in the various sections illustrate the subject from a variety of angles.
